You can create as many records as you want and change them at will. You can even opt to have these user records stored automatically with the patient record, accessible at any time from the Time Track.

For example, if you have sent a specimen to the lab, and the results return NAD, while in the patient record, select the user record template which you created for NAD's and the patient information will be merged into the report.

You can get as fancy as you want with the report, including pre-printed letterheads.

Eminance is built to fit practices of very different sizes. The site describes it as flexible for most practices’ needs and scalable from a one-person part-time practice to large enterprises. A practice can start with the Lite 2000 version, which gives full access to every feature but is limited to 2000 patients, move up to the 4000-patient version, and then to the unlimited version. Each step costs no more than if the higher version had been chosen at the start, and it can be done over the telephone or by email, so a practice never has to change systems as it grows. Special licences are available for small, starting-out practices, the software can be licensed month to month with no long-term contracts, and it runs either as a stand-alone system or over a network.

The software is meant to follow the way a practice works, rather than the other way around. Screens are user definable, so a practice can change what information it captures and how it captures it. The diary can be defined for most appointment types, with your own time slots and colour-coded bookings, and you can create and name your own recall types. Clinical note templates are configurable to be as simple or as complex as you like, different staff can be given different access privileges, and reports can be custom designed. In radiology each referring doctor can receive reports in a different format, prices can be overridden on each invoice, and a practice can add its own logo to its statements.

The flexibility carries through to the money side of the practice. Eminance integrates with all the medical switching houses and leaves the choice of switch to the practice. Tariff files are not locked, so a practice can set its own tariffs: if you have your own list, Health Focus will convert your spreadsheet into an Eminance file in a few minutes, and because medical aids have different tariff rates, a tariff update can be tailored to your needs and your own rate increase. Where a practice wants funding, the Merchant Capital partnership offers asset-free finance with repayment terms tailored to the practice’s cash flow.

Where and how you work is also your choice. Eminance Cloud is accessible from anywhere in the world, from any device, using any browser, with no app to install. The online diary can be configured per practice, including how many days ahead patients may book, and the practice chooses how much of its schedule to show. Training is delivered as live online sessions, on-demand modules, remote one-on-one or group sessions, and on-site where appropriate, with courses tailor-made to the practice’s requirements, and the call centre can take control of a computer remotely to keep downtime to a minimum.
