Medical aid tariffs updated in seconds

We make it easy for you by facilitating update files that keep your medical aid rules, fees and medicines up to date.

Auto Updates

Remember when it used to take weeks to update your tariffs when the medical aid changed their benefits. This process is now reduced down to seconds.

In addition, when your system is updated with the medical aid rules, the members contribution is also updated automatically - reducing small write offs and bad debts.

Why up-to-date tariffs and software matter in a medical practice

Medical aids change their rates, rules and benefits, and tariff codes and ICD-10 codes change as well. A claim that does not follow the current rules can be rejected, and then you have to correct it and send it again. SAMA has warned that failure to use the correct ICD-10 codes may result in medical schemes rejecting claims, and practice billing providers list mismatched codes and missing modifiers among the most common reasons for rejection. Keeping your tariffs, medicines and medical aid rules up to date is therefore one of the simplest ways to get claims paid the first time.

Software needs to be kept up to date for safety as well. Updates fix known weaknesses that attackers could otherwise use. The US Department of Health and Human Services ties patching to reducing ransomware and data loss, the Australian Digital Health Agency notes that automating the deployment of patches shrinks the time a practice is exposed, and the RACGP security guide lists security patches among the actions a practice should take. The practice also gets new features and better performance, and spends less time on support. Back up before you update, because an update that goes wrong can corrupt files.

How to keep your practice up to date

  1. Update your tariffs at the start of every year. Get the new rates from your medical aids or your tariff supplier, and update again whenever a medical aid changes its rules or benefits.
  2. Back up before you update. A fresh backup means that if something goes wrong, you can go back to where you were.
  3. Apply the update inside your practice program. Use the program’s own update option, and ask your software supplier for help if you are unable to update.
  4. Keep the computers current too. Install the security updates for the operating system and the security software, and automate them where you can.
  5. Check the result. Look at a few tariffs and codes, send a test claim and watch the first rejections, so that a problem is found early.
  6. Make someone responsible. Choose who does the updates, set a date for each one, and keep a note of what was updated and when.

How flexible Eminance makes updates

Eminance keeps you current without the effort. We facilitate update files that keep your medical aid rules, fees and medicines up to date, and the programs need little or no maintenance. The auto updates of tariff codes, medicines and medical aid rules keep you current and reduce medical aid rejections, and because the member’s contribution is updated with the rules, there are fewer small write offs and bad debts.

The Tariff Assistant is standard in Eminance. It lets you log in to the database and gives you complete flexibility: update one practice with different rates to another, add new tariff codes and descriptions, and set different tariffs by medical aid. Our tariff files are not locked, so you set your own tariffs. If you have your own list, we will convert your spreadsheet into an Eminance file in a few minutes, and where we do not infringe on copyright we provide the latest tariff files at no fee.

A call to our call centre, requesting the rates you need, will have the new fees sent to you, normally the same day, and with a click of a button the Tariff Assistant updates your fees and rates for the new year. We can customise the rate increase for you. Medprax is fully integrated into Eminance, so you use up-to-date valid Nappi codes, submit the correct SEP prices and apply the mark up each medical aid specifies, and a Medprax activation code gives you the ICD10 cross-link tables.

The program itself stays current as well. Upgrades are free for as long as your program is licensed, and there are no upgrades to buy. To update, select the Update option from the Help menu. New versions are released with backward compatibility to take advantage of new operating system releases, the auto updates keep you current while Eminance Cloud keeps you in touch wherever you have an internet connection, and the one-click cloud backup is there before you update.
