Access from anywhere on any device

With Eminance Cloud it works right from the browser on your phone, tablet, Mac or PC, so there is no app to install or syncing required.

Eminance can be used anywhere you have an internet connection. There is nothing to install and it's completely secure. Eminance Cloud is completely web-based, meaning you can access the features from anywhere.

All you need is an internet connection and you're good to go.

Great on Mac, PC or a combination of both.

Why access from anywhere matters in a medical and optometry practice

Access from anywhere means that your diary, patient records and accounts are available on any device with a browser and an internet connection, whether you are in your rooms, on a ward round, in theatre, at a satellite practice or at home. Notes can be captured where and when the care happens, instead of being written up later, and everyone who is authorised sees the same up-to-date information. The catch is that patient information on a tablet or phone is especially vulnerable if it is not protected, which is why the US National Institute of Standards and Technology (NIST) has published a practice guide on securing health records on mobile devices, built on layers of security rather than a single tool.

In South Africa the duty to protect health information rests with the practice. The health regulations under POPIA require you, as the responsible party, to keep health records confidential, intact and available, and to follow generally accepted information security practices. When someone else hosts your data they act as your operator, under a contract that carries the same protections, and health information may not leave South Africa unless the POPIA rules for transfers are met. Staff who handle health information must be bound by confidentiality. A secure cloud setup helps, because encryption and secure connections are in place, but you stay in charge of your own data.

How to put it in place in your practice

  1. Decide what needs to be reachable, and by whom. Think about the diary, patient notes and billing, and about where you work: the rooms, hospital rounds, theatre, a satellite practice or home.
  2. Decide where the system will live. It can run on a server in your own practice, on a server farm, or with your local ISP. Choose the one that suits your control, cost and support needs.
  3. Make sure the connection is good. Wi-Fi or 3G or better is needed for the devices, and a server at your practice needs a public IP address, which your ISP sets up.
  4. Give each person their own login and only the access they need. Authorised users see what is relevant to their work and nothing more.
  5. Protect the devices. Use a passcode and encryption, be able to wipe a lost device remotely, and make sure a lost device is reported straight away.
  6. Put the POPIA basics in writing. If someone else hosts your data, agree a contract with them that covers confidentiality, backups and where the data is kept, and make sure your staff are trained and bound by confidentiality.
  7. Back up off-site, and check the backups. A cloud backup that is verified and kept safely means a lost device or a failed disk does not become lost data.

How flexible Eminance Cloud is

Eminance Cloud works right from the browser on your phone, tablet, Mac or PC. There is no app to install and no syncing, and it works in real time: as soon as the staff at your practice make a change, it is available to you, and as soon as you make a change, it is available to them. It is just like being in your rooms.

Use it wherever you work. In theatre you can make notes in real time to the patient record on a notebook, tablet or smartphone with Wi-Fi or 3G or better, and the travelling practitioner can view and update the diary and notes on the go. A satellite practice needs only a PC with any web browser, and invoices and payments are posted over secure communications as if you were at the main practice. Radiology practices can keep one central database for any number of locations.

You choose where Eminance lives, and that makes it super flexible. Host it on your own server in the practice, or have it placed on a server farm or with your local ISP. If you run your own server there is no major change to your existing system: you need a public IP address, which your ISP will set up, you activate the web server on your existing server, and you make a few settings. Whichever you choose, you are in charge of your own data.

What makes Eminance special is that you can have all your daily functions in the cloud. Many of our users use the cloud for their regular routines, billing and clinical notes. You can add, edit and view the diary and send an SMS, look up a patient and their accounts, capture an invoice and post a payment, write notes that authorised users can share, and search without choosing what you are searching for. With Heidi Health AI integrated into Eminance Mobile Cloud, even your clinical notes can be written for you to review, and a verified cloud backup, kept for 6 months, is just a click away.
